A data analyst turns records into answers that help somebody make a decision. The work includes understanding the question, checking data quality, calculating appropriate measures and explaining what the results do—and do not—show. You can test your interest with a spreadsheet project before committing to a specialist course or an expensive software subscription.
What an analyst actually delivers
A useful analysis starts with a decision: which products need attention, where customers abandon a process, or whether a service is meeting its target. A dashboard is one possible delivery format, not the purpose of the job. Microsoft’s data-analyst learning material describes preparation, modelling and reporting alongside stakeholder requirements.
Imagine receiving two sales files with different product names. Before making a chart, you must decide whether “steel bottle” and “bottle steel” refer to the same item, whether returns are included, and what each row represents. These questions are less glamorous than visualisation, but they determine whether anyone should trust the final recommendation.
Prepare for a realistic entry route
Build spreadsheet confidence first: sort, filter, use formulas, summarise grouped records and check totals. Then practise SQL for selecting, joining and aggregating information. PostgreSQL’s introductory tutorial is a useful official reference. A reporting tool can follow once you understand the measures you want to show; collecting software logos adds little evidence by itself.
For an India-based search, compare actual internship and junior-role descriptions in your city or preferred remote market. Record required qualifications separately from preferred skills. An analyst role in a bank may emphasise different subject knowledge from one in retail. A degree or certificate can support an application, but neither proves you can investigate an unfamiliar dataset.
Practice brief: a fictional campus stationery stall
Create a fictional file with thirty transactions and columns for date, item, quantity, price, refund status and payment method. Use invented records only. Ask which items contributed the most net sales during the sample period. Keep the original sheet unchanged and document every correction in a second sheet.
For a worked check, twelve notebooks at ₹80 produce ₹960 in gross sales. If two are refunded at the same price, the net sales for that group are ₹800. This is revenue, not profit: you have not included purchase costs, rent or other expenses. Build a small summary table and a bar chart, then explain one finding and one limitation. Do not claim that this tiny fictional sample describes real student demand.
Present reasoning that another person can inspect
Package the project as a question, a data dictionary, a cleaning log, calculations, one visual and a short recommendation. Include a check showing that the grouped totals reconcile to the cleaned records. If a blank value was excluded, disclose how many records were affected and why exclusion was appropriate.
Ask a classmate to reproduce one number without your help. If they cannot locate the formula or understand the units, improve the explanation before adding another chart. A good beginner portfolio demonstrates a transparent chain from source to conclusion. It should also show restraint: the next step might be collecting more reliable information rather than making an immediate business change.
Skills and evidence to build
| Skill | Practice output | Quality check |
|---|---|---|
| Spreadsheet analysis | A clean transaction sheet with formulas and grouped totals. | Totals reconcile; units and refund rules are visible. |
| SQL reasoning | A query that groups sales by product and period. | Explain filters and whether a join can duplicate rows. |
| Visual communication | One labelled bar chart and a short written conclusion. | A reader can distinguish the largest value from a causal explanation. |
| Quality control | A log of missing values, corrections and exclusions. | The untouched source remains available for comparison. |
- Ask
Name one decision and define the unit of analysis before opening a chart tool.
- Inspect
Read a handful of raw records and list missing values, duplicates and inconsistent labels.
- Calculate
Use a transparent formula and verify a small subset manually before summarising everything.
- Explain
Present the finding, its limitation and the next question that would reduce uncertainty.
- Evidence you have
- A reproducible calculation from the fictional transactions, with clear dates and definitions.
- Evidence you lack
- Real customer demand, purchasing costs and enough observations to forecast a business.
- Responsible conclusion
- Describe the sample result and propose a further check instead of promising commercial improvement.
Common questions
Do I need Python before trying data analysis?
No. For this first project, a spreadsheet lets you practise the essential reasoning without adding a programming barrier. Python becomes useful for repeatable transformations or larger tasks, but it will not fix an unclear question. Learn it when you can explain which repetitive step you want the code to perform.
Is a data analyst the same as a data scientist?
The titles overlap, but they should not be treated as identical. Analyst work often centres on questions, reporting and interpretation; other roles may require more extensive statistical modelling or software development. Read responsibilities and expected deliverables in the actual vacancy rather than deciding from the title alone.
Can a commerce or arts graduate explore this path?
Yes, you can practise the work regardless of your degree subject. Your subject knowledge may help you ask useful questions, but you still need numerical accuracy and tool skills. Whether you qualify for a particular job depends on that employer’s requirements; a practice project does not override a mandatory qualification.
Which chart should I use for the stationery exercise?
A bar chart is a reasonable choice for comparing product totals. Label the currency and period, and keep the categories readable. Avoid a decorative three-dimensional chart that makes values harder to compare. If the question changes to daily movement, a time-based chart may become more appropriate.
How do I handle missing sales values?
First investigate what a blank means: not recorded, not applicable or genuinely zero. These meanings lead to different treatments. In your fictional exercise, write a rule and disclose affected records. In real work, ask the data owner before assuming that replacing every blank with zero is acceptable.
Can I put a tutorial dashboard in my portfolio?
You can show it as a learning exercise if you acknowledge the tutorial, but it is stronger evidence when you extend it with your own question and checks. Do not imply that copied sample results were work for a real client. Explain which decisions and transformations you independently made.
What should an analyst explain in an interview?
Prepare to walk through one measure from raw records to final output. Explain a mistake you caught, a decision about missing data and a limitation you communicated. This gives an interviewer something concrete to examine instead of relying on a list of tools or a claim that you are analytical.
How do I know whether I enjoy the work?
Notice whether you enjoy investigating an unexpected total, clarifying a vague question and explaining a result to someone else. If only the visual styling interests you, try a design project too. Your response to the checking and revision stages is more informative than liking a finished dashboard.
A useful next step
If you prefer deciding what a system should do to calculating what happened, compare this work with business analysis. If you enjoy process bottlenecks, explore operations analysis before choosing your next project.
